Job Purpose
Ensure the smooth running and the general operation of the MD office on a day-to-day basis.
ACCOUNTIBILITIES
- Organizing BOD meetings, coordinating logistics and following up on all decrees’ implementation, ensure compliance with legal and regulatory requirements related to board activities (Board Secretary)
- Attend meetings and prepare MoM, supervising and monitoring the Department tasks, documenting, and following up on important actions and decisions after meetings.
- Overseeing general office operation.
- Prepare agendas for daily meetings, briefing materials and presentations.
- Coordinating domestic and international travel, including flight, hotel, and car rental reservations.
- Managing office supplies and equipment and maintaining proper stock levels.
- Creating presentations and other management-level reports.
- Make sure contacts list is updated on regular basis
- Support Senior Managers on other projects as needed.
- Maintain a high-functioning office which including daily maintenance of appearance of common areas and meeting spaces, overseeing office supply orders and inventory, kitchen, as well as equipment and appliances
- Make sure that health policies and protocols that emphasize the health and safety of the office, and ensuring the Team is following all safety protocols.
Position Requirements
Education:
Bachelor’s degree in Business Administration or a related field.
Experience:
From 2 to 5 years of experience as an Executive Assistant or in a similar administrative role.
Proven experience in coordinating meetings and managing logistics for high-level executives.
Skills:
Exceptional organizational and multitasking abilities, with a keen attention to detail.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with presentation software.
Ability to draft and prepare meeting minutes, documents, and reports.
Familiarity with travel coordination and scheduling, both domestic and international.
Strong problem-solving skills and the ability to handle urgent tasks efficiently.
